Standby is two things: this website, and the live-operations platform it describes. This policy covers both. It's short because the rules are simple. The terms of use cover the rules for using the platform.
The short version
- Your data is never sold.
- Your data is never shared, beyond the servers it runs on and what a court can compel.
- No AI or machine-learning model is ever trained on your data.
- Event data is processed for one purpose: running your events, on your instructions.

The website
standbyevent.com collects the email address you type into the early-access form, plus the standard server logs every website keeps: IP address, browser type, pages requested. We also use Google Analytics to see which pages get visited and how the site performs; it sets a cookie and sends that usage data to Google. There are no ad trackers and no social-media pixels here.
Your email is used to reply to you about early access and, once in a while, to tell you something shipped. It stays with us until you ask for it to be removed, and one message to the contact below takes care of that.
One disclosure for completeness: the site loads its typefaces from Google Fonts, so your browser fetches font files from Google's servers when a page loads. Google sees that request the way any file host sees a request for a file.
The platform
Who owns what. Your event data belongs to you, the operator running the event. Standby processes it on your behalf to deliver the service. In data-protection terms, you are the controller and Standby is the processor, and the platform takes its instructions from you.
What the platform holds. Coverage plans and contract baselines, schedules and rosters, check-ins and clock times, radio and gear assignments, incident reports, shift and personnel notes. The operational record of your events. Some of it is personal data about your staff: names or callsigns, shifts worked, what they carried, what they reported.
What we do with it. Store it, show it on your board, generate your reports, and back it up. Processing on your instructions, to run your events, is the whole job.
What never happens. Your data is never sold, rented, or traded. It is never given to third parties, advertisers, data brokers, or "partners." It is never used to train AI or machine-learning models, ours or anyone else's. It is never mined for marketing or profiling. The record you build in Standby works for you and nobody else.
Where it lives. The platform runs on commercial hosting infrastructure, and your data is encrypted in transit and at rest on those servers. Hosting providers store and serve the data under contract; they get no rights to use it.
Your crew's records. If you work events for a company that runs on Standby, the records about you belong to your employer, and requests to see or correct them go to your employer. We help them honor those requests.
Keeping it, deleting it. The record is the product, so event data is kept as long as you keep your account. Proving last season's coverage two years later is the point. Close your account, or ask for specific data to be removed, and it's deleted from production systems within 30 days and from backups within 90 days. You can export your data first. It's yours.
Legal demands. If a court order or other valid legal process compels disclosure, we hand over what the law requires and tell you it happened, unless the order itself forbids that.
Changes
If this policy changes, the new version appears here with a date and a note on what changed. The four lines in the short version are the spine of the product, and they are the ones you should expect to find intact every time you look.
